Moving off Tally without losing a year of data
A step-by-step plan for a distributor or trader moving off TallyPrime: picking a cut-over date, cleaning masters, exporting, checking balances and getting the team billing again.
Most businesses that move off Tally are not unhappy with their books. They have outgrown the parts around the books: salesmen sending orders on WhatsApp, collections counted over the phone at night, a second godown nobody can see from the office. The move itself worries people more than it should. Done in the right order, it takes days, not months.
1. Pick a cut-over date
Choose the day the new system takes over, and do not move a single bill before it. The first of a month works; the start of a financial year, 1 April, is cleanest because your returns and books line up. Everything before the date stays in Tally, which you keep for looking up old records.
2. Clean your masters in Tally first
Whatever is messy in Tally will be messy after the move. A week before the cut-over:
- Merge duplicate parties ("Sharma Traders" and "Sharma Traders Ltd")
- Check every registered party has the right GSTIN and state
- Make sure items have HSN codes, GST rates and units
- Close or write off old balances you no longer expect to collect
3. Export your data
Use TallyPrime's export option to save your masters and vouchers as an XML file. Send that file to whoever is setting up the new system, or upload it yourself if the software has an import screen.
4. Know what comes across, and what does not
In LalaJi, a Tally XML import brings in parties with opening balances, items with HSN codes and GST rates, units, and sales and purchase vouchers. Receipts, payments and journals are not imported, so bring each party's balance on the cut-over date instead of replaying old payments. Other software works differently; ask before you start.
5. Check five numbers before you go live
On the cut-over date, these should match between Tally and the new system. If all five match, you can switch with confidence.
- Total receivables, and the outstanding of your ten biggest parties
- Total payables to suppliers
- Stock quantity of your top items, in each godown
- Cash and bank balances
- GSTINs and state codes of your registered parties
6. Get the counter billing again on day one
The fastest way to lose a team's goodwill is to slow down the counter. LalaJi's desktop app has a keyboard-first Classic mode, and a Tally shortcut preset is launching next, so F8 will still open a sales invoice and F9 a purchase bill. Start the billing staff there, and bring in the field team on the LalaJi Connect app in the first week.
7. Run the first month with a checklist
For the first few weeks, check the day-end every evening: bills raised, cash and UPI collected, and stock of a few fast items. Small differences show up early and are easy to fix while the cut-over is fresh.
Want to see your own data before deciding? Book a demo and send a Tally export; we will import it so you see your parties and items in LalaJi first. More on importing from other software is on the switching page, and the TallyPrime comparison covers when Tally is still the better choice.
