For FMCG distributors and stockists

Distribution software for FMCG distributors who sell through salesmen and credit

Sound familiar?

  • Salesmen's orders arrive on WhatsApp and get typed again
  • Collections counted over the phone at night
  • Stock split across godowns, never quite right
  • Month end lost to GST returns and chasing dues

LalaJi ERP is where a distributor's day actually runs: the order, the stock, the challan, the delivery, the payment and the ledger entry are one record. Built in Haridwar for stockists and distributors who have grown past a single billing PC.

One working day, start to finish

Here is how a typical day looks for a distributor running on LalaJi. Nothing gets typed twice.

  1. 9:30 AM

    Salesmen leave on their beats

Each salesman opens the LalaJi Connect app on an Android phone and sees their parties, what each one owes, and the rates for that party's price list. No network in the market? Orders are saved on the phone and sync later.

  2. 11:00 AM

Orders reach the office as they are booked

The godown sees the order list and what is in stock in each warehouse. If an item is short, the replenishment list already shows it against its reorder level.

  3. 2:00 PM

    Billing and dispatch

Orders become GST invoices with the right batch, unit and price list. Goods go out with a delivery challan, assigned to a route.

  4. 5:00 PM

    Delivery and collection

The delivery person marks each drop delivered on the phone. Cash, UPI and cheques collected are recorded against both the party and the person who collected them.

  5. 8:00 PM

    Day close

You get a day-end report per salesman: orders, collections and pending dues. Counter sales close their shift on the POS. The ledgers are already up to date for tomorrow.

What a distributor gets in LalaJi ERP

Everything below is live today. Features still being built are listed separately further down, so you know exactly what you are buying.

Sales documents

Quotations, sales orders, GST invoices, sales returns, credit and debit notes. Copy an old invoice, or edit an active one with a full audit trail.

Godown stock

Multiple warehouses with transfers and adjustments between them. Batch and expiry tracking, multiple units per item (case, box, piece), and reorder levels that feed a replenishment list.

Price lists

Separate price categories for wholesale, retail or specific party groups. The salesman app picks up the right rate for each party.

Salesmen and collections

The LalaJi Connect Android app for order booking, payment collection and deliveries. Every rupee collected is tagged to the person who collected it.

Dispatch and delivery

Delivery challans from orders or invoices, delivery routes, and each drop marked delivered or failed by the delivery person. OTP confirmation at the door is launching next.

Credit control

Party ledgers and outstanding, a cheque register that tracks clearing and bounces, and WhatsApp payment reminders sent from the system.

Approvals and access

Roles and permissions per user, maker-checker approval on payment receipts and sales returns, two-factor login and a full activity log.

GST, e-invoice and e-way bill

Generate IRN e-invoices and e-way bills from the sales invoice. GSTR-1, GSTR-3B, GSTR-9 and HSN summary, plus TDS/TCS reports, ready to export for your CA. Lock a closed financial year so nobody edits last year's books by mistake.

Counter sales

A POS screen with shifts, day close and thermal receipt printing, for distributors who also sell over the counter. The desktop and Android apps keep billing when the internet drops.

Owner reports

Live profit and loss, sales and purchase registers, stock reports and cash and bank ledgers. Export to Excel or PDF when your CA asks.

Distributor management system: whose system is it?

The two terms get mixed up. A DMS (distributor management system) is usually software that a brand or principal company gives its distributors, so the company can see secondary sales and stock for its own products. It is built for the brand's visibility.

A distributor ERP is your own system. It covers every brand you carry, your own salesmen and godowns, your credit to retailers, your purchases and your GST. It answers the questions you care about: who owes you money, what is moving, and how much cash came in today.

LalaJi is a distributor management system that you own: it runs your whole business across every brand you carry. Some principals still ask you to report secondary sales on their own portal, and you can keep doing that. LalaJi does not replace it; it runs everything else.

Is it the right fit?

A good fit if you

  • ✓Sell to retailers on credit and chase outstanding every week
  • ✓Have salesmen or delivery staff working outside the office
  • ✓Keep stock in more than one godown, or in batches with expiry dates
  • ✓Want the owner to see today's orders and collections without phoning anyone
  • ✓Are moving off Tally, BUSY or Excel and want your data brought across

Not the right fit (yet) if you need

  • –Journal entries, bank reconciliation, trial balance and balance sheet in the same system. Also in development
  • –Manufacturing, production planning or bill of materials
  • –Trade schemes and free-goods offers calculated automatically
  • –An iPhone app for your field team. The Connect app is Android only

Moving your data in

You do not start from a blank screen.

From Tally or BUSY

Upload the XML or data export. Parties with opening balances, items with HSN and GST rates, units, and sales and purchase vouchers come across.

From Excel

Fill our templates for items, parties and sales and purchase invoices and upload them in bulk.

From anything else

Marg, Vyapar, Zoho Books or in-house software: an AI import that reads their exports is launching next. Until then, our team moves your masters through the Excel templates.

See exactly what comes across from each software.

Comparing options? See our honest comparisons with Tally, Vyapar, Zoho Books and BUSY, including when each of them is the better choice.

FAQ

Questions distributors ask us

Can my salesmen use it without mobile network?

Yes. The LalaJi Connect Android app saves orders, collections and deliveries on the phone when there is no signal and syncs them when the connection returns.

Does it handle stock in more than one godown?

Yes. Each warehouse has its own stock, and you can transfer or adjust stock between them. The number of warehouses depends on your plan.

Can I track batches and expiry dates?

Yes. Items can be tracked by batch with expiry dates, which matters for FMCG and food distribution.

Will my CA be able to file GST from it?

LalaJi prepares GSTR-1, GSTR-3B, GSTR-9 and HSN summary reports that your CA can export and use for filing. Filing itself is still done on the GST portal.

Do you generate e-invoices and e-way bills?

Yes. Create the IRN e-invoice and the e-way bill from the sales invoice itself, without opening the government portals. Each plan includes a monthly allowance, and you can buy packs if you need more.

How long does it take to get started?

It depends mostly on how clean your current masters are. Importing from Tally, BUSY or Excel saves most of the typing, and our team helps with the import and trains your staff on a call.
